Certified Payroll Reports is a certified-payroll preparation and checking service for small construction subcontractors. We are based in Ontario, Canada and serve clients in the United States. This policy explains, in plain language, what personal information we collect, why, who handles it, and the choices you have. It is written to meet Canada's PIPEDA principles and the notice expectations of U.S. state privacy laws, including California's.
What we collect
From this website's form: your name, company, email address, phone number (only if you give it), the state/portal your job uses, and anything you write in the notes box.
When you run a pilot or the service: the payroll material you choose to send us — timesheets, payroll exports and job details. Those files contain your employees' names, hours, classifications and pay rates. You send them for one purpose: building your certified payroll packs.
What we do not collect: this website sets no advertising or tracking cookies and runs no third-party analytics. We never ask for banking details, Social Security numbers, or government ID through this site.
Why we use it
- To reply to your enquiry and tell you whether the pilot fits your project.
- To prepare and check your certified payroll packs.
- To keep the records a service like this has to keep (invoices, correspondence).
That is the whole list. Your information — and your employees' payroll information — is never sold, never rented, and never used for advertising or for anyone else's work.
Who processes it
Two service providers handle data on our behalf: Cloudflare (website hosting and email routing) and Brevo (email delivery). Form submissions are kept in an access-restricted submissions log and delivered to our business inbox by email. Because these providers operate internationally, information may be processed in Canada, the United States, or the European Union. Payroll files you send during a pilot are worked on only by us.
How long we keep it
A website enquiry that doesn't lead to work is deleted within 12 months. Client payroll material is kept only while your engagement runs and for the record period your filings require; you can ask for its return or deletion at any time, and we will confirm in writing. Contact information for an active client is kept while the relationship lasts.
Your choices and rights
You may ask us at any time what personal information we hold about you, ask for a correction, or ask for deletion. We answer within 30 days. California residents: you have the right to know what personal information we hold and to have it deleted; because we do not sell personal information, there is no sale to opt out of. Canadian residents may contact the Office of the Privacy Commissioner of Canada if a concern isn't resolved with us.
Security
The site runs over HTTPS, form submissions travel through encrypted connections, and access to the business inbox is limited to the people who prepare your packs. No system is perfect; if a breach ever affected your information, we would tell you promptly.
